Using the Websand Zapier Integration

Zapier is a great way of connecting your different data collection platforms and business systems to Websand.  It's really easy and no development required.  

Using Zapier, you can easily create new customers, new subscribers or new transactions within Websand.  

What's brilliant about is that this Zapier integration links Websand with 750+ third party web services via the  Zapier web automation service.

Getting started is easy.

Requirements

To use this integration you’ll need the following requirements:

Sign up for a Zapier account

  1. Go to the Zapier website
  2. Select the Sign Up for Free button or enter info in the form.

Setup and Configuration

Websand is an ACTION Zap

Websand is an ACTION zap.  So it will only receive data from other platforms.  All the Zaps you create will be incoming. 

You can use Zapier to connect ‘triggers’ from your other business systems and send this data as an ‘Action’ through to Websand.

Zaps – Managed in Zapier, zaps receive your data from other service and send it on to Websand.

Planning your Zap

Zapier allows you to connect Websand to your other business systems.  

Zaps from Zapier will allow you to create three different types of input into your Websand account.

  • Add Subscriber - creates a new contact / amends an existing contact in Websand.
  • Add Booking Transaction - creates a new transaction / amends an existing transaction in Websand.
  • Add Booking Transaction - creates a new transaction for a booking  / amends an existing transaction as a booking in Websand

So by connecting triggers from your business systems you can connect data into Websand such as...

  • Adding a new subscriber from your Shopify site.
  • Adding a new customer from Magento
  • Adding a new contact from Salesforce
  • Adding a new contact from a Google Sheet
  • Adding a new transaction (deal) from Hubspot CRM
  • Adding a new contact from a typeform entry


Configuring your Zap

Here is a quick overview on configuring a Zap:

  • Start a Zap: Use your Zapier account to create a new Zap, and select which business system you’d like to connect to feed into Websand.
  • Connect your business system, and the trigger event you wish to connect.
  • Connect your Websand account, select the type of event you’d like to create in your Websand account.  
  • Finalize your Zap: Finish configuring your trigger and data. Test using the sample data, then activate your Zap.



Process 1: Create your trigger (from your platform)

Once you’ve decided which business platform you want to connect to Websand using Zapier, go to your Zapier Dashboard, and set up a new Zap:

  1. Click the Create a new Zap button.
  2. In the Trigger Service dropdown, choose the business platform you wish to connect.  For example, Select WooCommerce.,
  3. Then select your trigger.  See the list below of example Magento triggers.

  1. Test that step.
  2. (Give the step a name if you wish) and then save and continue.

You’ve now pulled some sample data into Zapier.  

Next step is to push that into Websand


Process 2: Define your action (into Websand)

Choose Websand as your Action App.  

We are new, so you might need to type Websand into the search bar and then click on the Websand ICON.

Select the action you wish to create.

  • Add Subscriber - creates a new contact / amends an existing contact in Websand.
  • Add Booking Transaction - creates a new transaction / amends an existing transaction in Websand.
  • Add Booking Transaction - creates a new transaction for a booking  / amends an existing transaction as a booking in Websand.

Configure your Websand account

When configuring your account you will need your websand account name, which is the featured in the URL of your Websand account - for example bobsocks.websandhq.com, then your account name would be ‘bobsocks’

You’ll also need to generate and copy your Websand API key.  



Set up your selected template.

Map the relevant fields from your Trigger account into the fields shown in your selected Zapier Websand template.

See the notes for each template, under 'Defining your Websand Action'


Test the Zap.

Try out your Zap using the sample/test data shown next to your fields. When you have finished this step, click Continue.


Name Your Zap

Give your Zap a name. You may find it easiest to use the same Title/Name given to the corresponding action, such as Shopify order update.


Make it Live

Click the Make Zap Live button.

When your trigger fires, data will be sent to your Zap to be processed, and will be updated in your Websand account.


Defining your Websand Action

Websand combines both contact and transactional behaviour together so you can drive your marketing programmes based on the behaviour of your customer.

Zapier makes it easy to connect your business systems to Websand.  That helps makes your business data flow, and then drives the marketing automation programmes you’ve set up within Websand.  

To help you create your data flow, we’ve got three different actions within Zapier for you to configure, based on either contact information or customer behaviour.


Subscriber based Zaps

Subscriber based Zaps will either create a new contact in Websand, or if you if they already exist (based on email address), the zap will update an existing contact record.

We require three mandatory fields to be pulled through

Email address

Websand is a marketing automation platform, we give you clever ways of sending targeted email.  Without an email address we can’t do this for you.  And please make sure that the emails you collect are collected with consent.  Respect your audience and you’ll get much respect in return.

Source

If you don’t have the origination of the data pulled through from the business system, then you can type whatever you feel to be appropriate in the field.  For example - Magento Customer Zap.

The source code data can be used to create ‘source’ segmentation and then automation within Websand, so the update of this information could be the start of your email programme.

Subscribed at

This field represents the signup date of the contact, and will overwrite any date that was previously held against that record in Websand.

You can also include

  • Date of birth
  • First Name
  • Last Name
  • Company Name
  • And add any further key fields using the ‘Tags’ section.

The tags will mark the contact in Websand, rather than update or create a specific field against a contact in Websand.

Transaction based Zaps

Transaction based Zaps are designed to be used for tracking customer behaviour be that spend activity or knowledge collection (answering surveys, etc).  When activated transaction will either...

  • Create a new transaction for an existing contact in Websand
  • Create a new transaction and a new contact in Websand
  • Amend/update an existing transaction for an existing contact in Websand

We require five mandatory fields to be pulled through

Email address

Websand is a marketing automation platform, we give you clever ways of sending targeted email.  Without an email address we can’t do this for you.  And please make sure that the emails you collect are collected with consent.  Respect your audience and you’ll get much respect in return.

Transaction timestamp

When did the event happen?  That could be last update or the origination time.  That’s totally your choice.  We just need you to provide a timestamp.

Items purchased

What have people bought (or done).  Add the product / service related to the order here. This field represents the signup date of the contact, and will overwrite any date that was previously held against that record in Websand.

Transaction Total

How much did they spend?   Please provide the Total amount.  

If the transaction you are tracking is free, and you are tracking knowledge - such as a survey entry, then type in 0.00 into the box.

Order ID

This should be your unique identifier for the transaction.  If a transaction with this order ID already exists in Websand, any data processed through this action will overwrite any data that was previously held against that record in Websand.

You can also include

  • Status (the status of the order)
  • First Name

Booking based Zaps

Booking based Zaps are designed to be used for booking transactions.  Handy for services that book in advance, leisure businesses and hotels.

When activated transaction will either...

  • Create a new transaction for an existing contact in Websand
  • Create a new transaction and a new contact in Websand
  • Amend/update an existing transaction for an existing contact in Websand

We require five mandatory fields to be pulled through

Email address

Transaction timestamp

When was the booking made?  We suggest you use that rather than other dates related to bookings, such as ‘arrival’.  This can be handled elsewhere for you in the booking Zap.

Items purchased

What have people bought (or done).  Add the product / service related to the order here. This field represents the signup date of the contact, and will overwrite any date that was previously held against that record in Websand.

Booking Total

How much did they spend?   Please provide the Total amount.  

If the booking you are tracking is free, and you are tracking knowledge - such as a survey entry, then type in 0.00 into the box.

Booking ID

This should be your unique identifier for the booking.  If a booking with this order ID already exists in Websand, any data processed through this action will overwrite any data that was previously held against that record in Websand.

FAQ

Can I Add Multiple Triggers to my Websand account using Zapier?

Yes you can!

Depending upon your Zapier account status.  Websand can handle multiple inbound data requests from Zapier, so you can connect all your business systems to Zapier and have a single customer view for all your customer information within Websand.
